# Managing Your Private Knowledge Base

Your Private Knowledge Base lets you upload your railroad's documents directly into Raillie — including licensed operating rules, internal procedures, timetables, and territory-specific instructions. Documents are stored in complete isolation and are never accessible to other organizations.

> **Note:** The Private Knowledge Base is available on the **Professional plan and above**. If your organization is on the Standard plan, you will see an upgrade prompt on the Knowledge Base tab.

### Accessing the Knowledge Base

1. Navigate to **Org Admin** in the left sidebar.
2. Click the **Knowledge Base** tab.

When your Private Knowledge Base is active, the tab displays its current status — including total document count and the date it was last updated.

### What You Can Upload

* Licensed GCOR or NORAC operating rules
* Internal general orders and special instructions
* Territory timetables and track charts
* Standard operating procedures
* Emergency response plans

> **Important:** Only upload content your organization has licensed or authored.

### Uploading Documents

1. From the **Knowledge Base** tab, click **Uploads**.
2. Select a **Document Type** from the dropdown.
3. Optionally, enter a **Display Name** to identify the document (e.g. "GO 24-003 — Speed Restriction").
4. Drag your file into the upload zone, or click the zone to browse your device.
5. Supported formats: **PDF, DOCX, DOC, TXT, MD, HTML** — maximum 100MB per file.

### Viewing Upload History

The **Upload History** section lists every file uploaded to your Private Knowledge Base, showing filename, file size, chunk count, processing status, and timestamp. A green **Completed** badge confirms the document has been indexed and is available for Raillie to search.

### Managing and Deleting Documents

To delete a document from your knowledge base, navigate to the **KB Health** tab. The **Private Knowledge Base Documents** table lists each document with a **Delete** link on the right. Deletion removes the document and all its indexed chunks immediately.

### Ingestion History

The **Ingestion History** section below Upload History tracks background ingestion events across your document set.

### Choosing a Knowledge Source in Raillie

* **Global** — Railnology's regulatory library only
* **Private** — your organization's uploaded documents only
* **Both** — searches both sources and combines results

> **Note:** Documents must finish processing before Raillie can find content within them. If a freshly uploaded document is not appearing in results, wait a few minutes and check the Upload History status badge.
